This page says what we collect, why we have it, who else sees it and how to get rid of it. It describes what this website actually does rather than what a privacy policy usually says.

The data controller is Onemove Limited, registered in England and Wales under company number 08717311, of 14-16 Powis Street, Woolwich, London, SE18 6LF.

What we collect, and when

We collect nothing about you until you fill something in. There is no login for visitors and no profile being built in the background.

The removals quote form

Your name, email address, dialling code and telephone number. Where you are moving from and to, as country, town and postcode. Your move date or the fact that you do not have one. The size or type of move. Any extras you tick, which are currency exchange, pet transport, vehicle shipping and art or antiques. Whatever you write in the description of what you are taking. And any photographs or inventory files you attach.

The currency quote form

Your name, email address, dialling code and telephone number, the two currencies you are converting between, and the amount band if you choose to give one. The amount band is optional and the form works without it.

Recorded automatically with either form

The address of the page you submitted from, your IP address and your browser's user agent string. These are kept for one purpose, which is telling a genuine enquiry from an automated one. They are never used to build a profile and never shown to the companies we pass an enquiry to.

Why we are allowed to hold it

Because you asked us for something. Under UK GDPR the lawful basis is that processing is necessary to take steps at your request before entering into a contract. If you ask for a quote, answering you requires keeping the details long enough to answer.

The technical data in the paragraph above sits on legitimate interests instead: keeping a public form usable by preventing automated abuse of it.

We do not send marketing email off the back of an enquiry, so we are not relying on consent for that and you are not signing up to anything by asking for a price.

Who else sees it

This is the part that matters most, so it is specific.

Removal companies. A quote request exists to be quoted, so the details go to removal companies who can do the job. That is the purpose of the form rather than a side effect of it.

Our currency partner. If you complete the currency form, or tick currency exchange on the removals form, your details go to the currency firm we work with so that they can quote you. They are a separate company with their own privacy policy and their own regulated payment partners, and once your details are with them their policy governs what they do next.

Nobody else. We do not sell data, we do not share it with advertisers, and we do not pass it to anyone who is not quoting the thing you asked about.

Files you attach

Photographs and inventory files go onto our server under a filename we generate rather than the one your file arrived with, in a folder the web server refuses to serve to the public. They are readable through the admin system by us, and by nobody reaching the site from outside it. Your original filename is kept only as a label at the end of the generated name, so a file called something personal does not become a public URL.

Cookies and what the pages load

This site sets one cookie of its own for ordinary visitors: a security token that protects the forms against being submitted from somewhere else. It is required for the forms to work, it holds no information about you, and it goes when the session ends. Members of our own staff who sign in to the admin area also get a sign-in cookie, which does not apply to visitors.

Two things load from outside this website, and both mean your IP address reaches another company as a normal part of the internet working. The stylesheet and scripts for the page layout come from the jsDelivr content network. Where website analytics is switched on, the measurement script comes from Google. Nothing else is loaded from a third party, and there are no advertising tags, no social media pixels and no tracking scripts beyond that.

How long we keep it

Enquiry records are kept for 24 months from the last contact about them, then deleted. That period exists because quotes get reopened, moves get postponed, and a question about a job six months later is a normal thing rather than an unusual one.

Where a job goes ahead, the records that form part of our accounts are kept for six years after the end of the relevant accounting period, because HMRC requires it. That part is a legal obligation rather than a choice.

Attached files are deleted on the same schedule as the enquiry they belong to.

What you can ask us to do

You have the right to ask what we hold about you and to be given a copy, to have anything wrong corrected, to have it deleted, to restrict what we do with it, to object to processing based on legitimate interests, and to receive it in a portable form.

Ask and we will do it. There is no charge, and we will respond within one month. We will need enough information to be sure you are who you say you are, which for an enquiry usually means replying from the email address the enquiry was sent from.

If you are not happy with how we handled it

Tell us first and we will try to fix it. If you are still not satisfied you can complain to the Information Commissioner's Office, which is the UK supervisory authority for data protection, at ico.org.uk or on 0303 123 1113. You do not need our permission to complain and you can go to them directly.

Changes to this page

If what we do with data changes, this page changes with it and the date below moves. We do not quietly amend it and leave the old date in place.
